  • IP addresses and general location data (city level, not precise coordinates)
  • How you navigate through our platform and which features you use

How We Use Your Information

Everything we collect serves a specific purpose. We don't gather data just for the sake of it, and we certainly don't sell your information to third parties.

Important note: We use your financial data solely for providing budgeting services to you. Rophelovae never shares your departmental budget figures with other clients or external parties for marketing purposes.

Data Storage and Security

Your information lives on secure servers located in Australia, which means it falls under Australian privacy laws. We've implemented multiple layers of protection, though no system is completely bulletproof (anyone who claims otherwise is lying).

  • Access controls limiting who on our team can view specific data types
  • Automated backup systems with 30-day retention for disaster recovery

We retain your account data for as long as you maintain an active subscription. After account closure, we keep billing records for seven years to comply with Australian tax requirements, but we delete your operational budgeting data within 90 days.

Sharing and Disclosure

We keep your information within Rophelovae except for specific situations that actually make sense for running the service. Here's the complete picture of when your data might be shared.

Service Providers

We work with carefully selected companies that help us operate the platform. These include our hosting provider, email service, and payment processor. All vendors sign data processing agreements and can only use your information for the specific services they provide to us. They can't repurpose your data for their own business.

Legal Requirements

Sometimes the law requires us to disclose information. This might happen if we receive a valid subpoena, court order, or warrant from Australian authorities. We'll notify you about such requests unless we're legally prohibited from doing so. In 2024, we received three such requests and provided limited information in two cases after legal review.

Business Transfers

If Rophelovae is acquired or merges with another company, your information would transfer to the new entity. We'd notify you at least 30 days before any such change, giving you the option to delete your account if you're not comfortable with the new arrangement.

Your Rights Under Australian Privacy Law

The Privacy Act 1988 and Australian Privacy Principles give you specific rights regarding your personal information. We've built tools into the platform to make exercising these rights straightforward rather than bureaucratic.

Access Your Information

You can view most of your data directly through your account dashboard. For a complete copy of everything we hold about you, submit a request through your account settings. We'll provide a comprehensive export within 14 days in a readable format.

Correct Inaccurate Data

If something we've recorded is wrong, you can update it yourself through account settings. For data you can't modify directly, contact our support team at support@rophelovae.com with the corrections needed.

Delete Your Account

You can permanently delete your account at any time through the account settings page. This removes your operational data within 90 days. We retain billing records for legal compliance as mentioned earlier, but these contain minimal personal information.

Object to Processing

If you believe we're using your information inappropriately, you can object by contacting us. We'll review your concerns and either explain why the processing is necessary or stop that particular use of your data.

Lodge a Complaint

If you're unhappy with how we've handled your privacy, you have the right to complain to the Office of the Australian Information Commissioner. Their website is oaic.gov.au, though we'd appreciate the chance to resolve issues directly first.

Cookies and Tracking

Our platform uses cookies and similar technologies to function properly. Some are essential for basic operations, while others help us understand how people use the budgeting tools.

All your data stays within Australia. We don't transfer information to overseas servers or process it outside Australian jurisdiction. This simplifies privacy compliance and keeps everything under Australian legal protections.

If our infrastructure arrangements change in the future, we'll update this policy and notify active users at least 60 days before any international transfers begin.

Children's Privacy

Rophelovae is designed for business use and isn't intended for anyone under 18. We don't knowingly collect information from children. If we discover that someone under 18 has created an account, we'll delete it promptly.

Changes to This Policy

We review and update this privacy policy periodically as our practices evolve or laws change. When we make significant changes, we'll notify you via email at least 30 days before they take effect. The "last updated" date at the top tracks when modifications were made.

Continuing to use Rophelovae after changes take effect means you accept the updated terms. If you disagree with changes, you can delete your account before they become active.

Data Breach Notification

If we experience a data breach that's likely to result in serious harm, we'll notify affected users and the OAIC within 72 hours of becoming aware of the breach. Our notification would include what happened, what information was affected, and what steps we're taking to address it.

We test our breach response procedures quarterly to make sure we can respond quickly if something goes wrong.
